Background
Adath Israel Congregation is one of North America’s largest Conservative Shuls, and is led by a dynamic clergy team under the guidance of Senior Rabbi Adam Cutler. Our dedicated office team oversees the operational side of the synagogue.
We are looking to hire a temporary Office Manager (Maternity Leave, minimum one year), and is a direct report to the Executive Director. This in-person role is full-time, with office hours of 8:30am-4:30pm (or 9:00am-5:00pm). Fridays have an early leave time.
Job Profile
- Provide administrative support to the office including: scheduling meetings, processing incoming and outgoing mail and courier pickups and deliveries, making copies, scanning documents, maintaining and office supplies.
- Answer phones, including screening of calls, handling routine items, and taking/relaying messages;
- Coordinate the consolidation and distribution of the weekly Shabbat package.
- Issue Yahrzeit letters weekly.
- Provide support to Accounting (filing and data entry)
- Write, proofread and distribute/mail correspondence and letters as requested.
- Maintain an organized electronic and paper filing system (assist, monitor, and enforce usage).
- Other duties and projects as assigned
Human Resources
- Oversee vacation scheduling using our Ceridian application
- Lead onboarding process for new employees
- Supervise full-time receptionist.
Administrative
- Support the program, administrative and calendar needs of the shul
- Manage the synagogue’s event booking calendar as needed
- Serve as the primary resource to run reports from our “ShulCloud” Membership database
- Process incoming donations and manage the master donation file
- Oversee congregation wide mailings.
- Provide registration and administrative support for the Hebrew School
Ritual
- Lead the Yahrzeit communication and mailing program.
- Coordinate the weekly Shabbat package.
Our Ideal candidate can:
- Communicate in a positive way with all members of staff and the congregation, both through written and verbal communication
- Possess superior organizational skills, along with a proficiency in Microsoft Outlook (use of Google documents is also a welcome asset)
- Have courageous conversations as necessary with staff and the congregation
- Understand and respond calmly in times of change, and does not get easily overwhelmed
- Work collaboratively with all members of staff and the congregation
Our ideal candidate has:
- Post-secondary diploma or degree
- Minimum of 2 years of related administrative experience in a business office setting (Jewish community experience is an asset).
- Knowledge of Jewish holidays and customs (speaking Hebrew is an asset, but not required).
